The role

The role of Office Administrator is to support the efficient and effective day-to-day running of the Australia New Zealand (ANZ) team (c.16 people) to ensure the team functions as a high performing team. Reporting to the Head of Region APAC (Asia Pacific) & working closely with the whole ANZ team, the Office Administrator will oversee diary management, support with topic prioritisation, compilation of presentations and reports, document management and operational budget tracking amongst other activities. The successful candidate will have an opportunity to join a business as it moves into the exciting and fast paced “launch” phase, promoting a new vehicle, and establishing a new brand. This role is varied, providing both project-based tasks and general management/co-ordination of the ANZ team. Duties of the Office Administrator:

  • Prepare reports, proposals, presentations, and documentation to support the Head of Region & ANZ team
  • Support Retail Partners with queries, helping with questions from new starters and ‘how do I/where do I’ type questions
  • Attend key Commercial meetings, such as Weekly Heads meeting, to record minutes and actions. Follow up on actions with relevant stakeholders
  • Support the team with diary planning, meeting set-up, changes to scheduling, travel arrangements and expense processing
  • Develop an understanding of the ANZ activities such that reports and presentations can be created with real meaning, based on a good personal understanding of the topic and the desired outcomes from the report/presentation
  • Support the ANZ management team with strategic sign offs/sanction requests at points during the year where Board escalation is required
  • Propose and plan twice-yearly ANZ team building events, working to a set budget
  • Budget oversight at an operational level, supporting with Purchase Order requests, Goods Receipting etc
  • Support enquires from the wider organisation & external suppliers
  • To assist in scheduling appointments for the ANZ team with external contacts, retail partners, customers & internal members of staff – this includes forward planning & scheduling any required papers, actions completed, preparing profiles / background for external meetings

For our Office Administrator we are looking for:

  • Previous Administrative/Personal assistant/team support experience highly advantageous
  • Tech savviness to be able to comfortably navigate & perform daily tasks using Microsoft Office Suite. Previous SAP experience (or alternative finance software) would be advantageous
  • Strong organisational & prioritisation skills, self-motivated, & able to work independently but also as part of a team
  • A genuine interest in the automotive industry (preferred but not mandatory)
  • Pro-active and can take on challenging projects in a fast paced environment
  • Makes sure all necessary tasks have been completed to a high standard. Paying attention to detail on both small and large aspects of any work completed
