Logistics Specialist

Role synopsis:  

The Logistics Specialist is responsible for supporting the Logistics & Customer Service Manager and Logistics team with the execution of specific logistics functions.  This includes resolving truck and rail freight payment discrepancies, developing and maintaining documented processes and providing general SAP maintenance/backup support and becoming SAP subject matter expert with responsibility for testing and validation of SAP upgrade.  Additionally, the role will provide support to the Customer Service team for order entry and vacation/out of office coverage. 

Responsibilities and Accountabilities

Accountability 1:  Freight Payment Discrepancy Coordination

  • Manage daily working relationship with truck carriers and railroads regarding invoicing
  • Review invoice charges for accuracy and approve or dispute, as necessary Facilitate timely payment of freight invoices
  • Research past due invoices and submit credits
  • Maintain record of invoice review and resolution 
  • Manage and update SAP master data to ensure future invoicing accuracy

Accountability 2:  Process Developer and Owner

  • Create documented processes to provide instructions for management of freight payment discrepancies
  • Created documented processes to provide instructions for Logistics functions
  • Create documented processes to provide instructions for Customer Service functions
  • Maintain and update processes to ensure robustness

Accountability 3:  SAP Support

  • Support upcoming SAP upgrade as primary point of contact for testing and acceptance
  • Manage normal SAP maintenance
  • Become SAP subject matter expert

Accountability 4:  Customer Service Support

  • Complete typical order details within SAP; order entry, goods issue, change orders, debits and credits
  • Serve as backup to Customer Service Representatives, as needed

Accountability 5: Administrative Support

  • Provide general administrative and operational support
  • Support and coordinate onsite meetings/team events and offsite meetings/events.

Skills & Knowledge Required

Education/Experience

  • Degree level education in logistics or equivalent experience
  • 5 years’ work experience in customer service, logistics or operations within the petrochemical industry preferred
  • Experience in technical and commercial functions – customer service, logistics, business management

Technical skills

  • SAP knowledge and experience
  • Relationship management
  • Logistics operations understanding
  • Sound understanding of several logistics modes (rail, road, marine)
  • Strong competence with standard business software (Excel / Word / PowerPoint)
