FPS is a 100% INEOS-owned integrated oil and gas liquid transportation and processing system with a nominal capacity in excess of one million barrels per day serving the central area of the North Sea.

Oil and gas liquids from over 50 offshore fields and St Fergus flow through pipelines into FPS. FPS transports crude oil and gas liquids from offshore and onshore entry points, processes the liquids at Kinneil and redelivers to the customer Forties Blend crude oil at Hound Point and either Raw Gas or fractionated Gas Products at Grangemouth.

about the role

Reporting to the Information Management & Document Control (IMDC) Team Lead, the role includes all elements of document control for the management of a large repository of documents and drawings. The role also administers various critical processes such as Management of Change (MOC) and the Register of Safety Related Devices (RSRD).

WHAT DOES THE DAY TO DAY LOOK LIKE?

  • Work with other members of the IMDC Team to respond to email requests on a daily basis from the Management of Change, Document Control, Drawing Office and Completions & Close-out mailboxes.
  • Update Management of Change (MOC) files as requested by all personnel involved in the MOC process and maintain the archive area.
  • Upload MOC database to Sharepoint to ensure accurate reporting of MOCs.
  • Process day-to-day document control requests including but not limited to formatting, uploading and withdrawing documentation and subsequent communication to business.
  • Process requests to update Register of Safety Related Devices.
  • Upload vendor documentation to Electronic Document Management System (EDMS) and issue it for review/approval.
  • Support Job Responsible Engineers and MOC Reviewers in navigating the MOC process.
  • Provide guidance on use of the EDMS and work closely with end users to best meet their documentation needs in line with INEOS requirements.
  • Upload non-controlled documentation to the EDMS.
  • Print and distribute controlled copies of documentation.
  • Respond to adhoc IMDC requests from colleagues throughout the business via email, Teams and telephone.
  • Adhere to and promote INEOS 20 Principles for Behavioural and Process Safety.
  • At all times, adhere to the INEOS 7 Lifesaving rules.

Qualifications, knowledge and Skills

  • NQ in admin function or equivalent experience
  • Previous experience in similar role
  • Good IT skills, particularly Excel, Word and PowerPoint
  • Positive attitude, self-confident, independent and ability to work on own initiative
  • Ability to learn on the job
  • Attention to detail
  • Ability to prioritise work and to refocus tasks to meet changing priorities.
  • Ability to work to deadlines.
  • Possess strong proof reading skills, attention to detail and organisational skills
