INEOS Nitriles is a global chemicals business with sales volume of 1200 kte and revenue in excess of $3 billion.  The Nitriles business has two manufacturing operations in the US and one in Europe along with offices and headquarters in Rolle, Switzerland and Aurora, Illinois near Chicago. The Nitriles Business primary products include acrylonitrile, hydrogen cyanide, and acetonitrile.  Additionally, Nitriles has a manufacturing operation that produces catalyst for internal use at the Lima Site, globally within Ineos, and for other Acrylonitrile producers. The INEOS Nitriles Plant at Lima is part of an industrial campus which includes a refinery and chemical complex. INEOS share services, utilities, products, and feedstocks with four adjacent manufacturing facilities:  Nutrien (ammonia, urea, nitric acid), Fort Amanda Specialties (chelates), Ashland (1,4-butanediol), and Cenovus Refining (propylene, fuels, and refined oil products). 

This position is the Document Steward for controlled documents and provides administrative support for the SHE Group, Site Director, and others. This position is a key member of the SHE organization and is instrumental in ensuring success of the team. Some interface is required with all levels of staff and outside contacts. Other administrative duties include typing, filing, scanning, report preparation, SharePoint management, scheduling meetings/lunches, and other duties as required by staff.

The Total Quality Management System shall be incorporated into all job activities. All job activities must be executed in a safe and efficient manner consistent with the INEOS 20 Principles.

Responsibilities AND Accountabilities

  • Visibly supports and promotes the INEOS 20 Principles and Culture of Prevention.
  • Acts as the Document Steward for all controlled documents. Maintains the Procedure Tracking Spreadsheet, utilizes the TenForce Document Control MOC system to initiate procedure reviews, publishes procedures, and maintains the site’s SharePoint library of procedures.
  • Prepares reports (monthly SHE Report, SHE metrics, and Site Scorecard).
  • Publishes site weekly newsletter.
  • Facilitates the approval process for various documents via DocuSign.
  • Manages Lima Homepage via SharePoint.
  • File and retrieve corporate documents, records, and reports. Ensures timeliness of environmental reports both internally and to local, state, and federal agencies. Maintains paper files of such reports. 
  • Inputs purchase requisitions into SAP.
  • Manages the safety shoe and safety glasses program.
  • Supports the Training department and acts as the back-up system administrator for the Computer Based Learning system.
  • Performs clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, arranging meals, and arranging travel.
  • Provides any other administrative duties required of the SHE department and Site Director and others as needed.

Skills & Knowledge Required

Education/Experience

  • Associates degree or equivalent experience required
  • Demonstrated performance with 5+ years administrative/clerical experience

Skills/Competencies

  • Expertise in Microsoft Office applications (Word, PowerPoint, Excel, Outlook) and in Microsoft O365 Collaboration Tools (SharePoint, etc.)
  • Willingness to acquire skills in new software and keep up to date on new technology that will benefit department or company.
  • Excellent interpersonal and oral communication skills required.
  • Professionalism evident in manner and actions with employees, senior management and outside contacts.
  • Able to coordinate several difficult problem-solving tasks simultaneously and flexibility to respond to occasional changes in priorities.
  • Able to work in stressful situation and under tight deadlines.
  • Self-directed team member that accepts a wide variety of tasks from various sources.
  • Demonstrates excellent judgment and the ability to determine priorities and make independent decisions when necessary.
  • Ability to maintain strict confidentiality.
