Organizational Context and Job Purpose

Organizational Context:

The O&P USA business includes the product lines Ethylene, Propylene, Butadiene, Polypropylene and High Density Polyethylene.  Manufacturing sites include Chocolate Bayou Works (Alvin, TX), Battleground Manufacturing Complex (La Porte, TX), and Carson, (Carson, CA), with a division office in League City, TX. 

Purpose of the job:

The HR / Payroll Administrative Assistant will work as a key member of the O&P USA Human Resources Team at the League City, TX office. The HR / Payroll Administrative Assistant reports to the Sr. Human Resources Advisor. 

The ideal candidate must have a background in payroll processing, Human Resources administration, strong willingness to learn, a great attitude, be a team player, and have the ability to multi-task and work independently.  A great degree of personal initiative, strong interpersonal skills and the ability to prioritize is required.  This role works very closely with all members of the HR team.  Attention to detail coupled with excellent communication skills are essential in this role.

Responsibilities and Accountabilities

Accountability 1: Payroll Coordination

  • Developing a deep understanding of the payroll system
  • Training line staff in administering payroll procedures, policies, and practices
  • Managing basic payroll information
  • Maintaining tax information and Electronic Funds Transfer updates
  • Adding, editing payroll data, transactions, deductions for new hires, existing employees
  • Certify accuracy of all timecard and payroll related transactions
  • Entering hours, earnings, deductions, and auditing all payroll and benefits related transactions
  • Processing pay advices and checks
  • Preparing files for transmission
  • Auditing the pre-processed payroll & processing payroll corrections
  • Submitting files
  • Completing all year end payroll related items
  • Support and resolve payroll issues
  • Assist with administrative duties related to scheduling and time sheet system for hourly employees
  • Creating ad-hoc reports
  • Processing in/out pay advices and checks
  • Auditing exception time reporting
  • Handle tracking and invoices associated with temporary administrative staff

Accountability 2: Benefits Administration

  • Benefits administration (information additions, changes, or deletions), invoicing and retroactive payments
  • Answering employee questions and issue resolution
  • Processing and tracking benefits invoices to systems for payment

Accountability 3: General Human Resources Administration

  • Data entry to Workday: New Hire data, job and compensation changes
  • Filing and maintaining personnel, benefit and confidential files
  • Maintain and update HR SharePoint site as needed
  • Prepare for and conduct New Employee Orientation for HR policies and benefits
  • Assist with FMLA notification and tracking
  • Process invoices for the HR team through SAP
  • Oversee Fitness Center memberships and usage, including recording imputed income and membership fees through payroll
  • Oversee Service Award processing and ordering for all of O&P USA
  • VTA system backup
  • Support and troubleshoot VTA system issues and problems
  • Support various classroom training, including new hire orientation
  • Issuing approved communications
  • Assist with recruiting activities
  • Special projects and other responsibilities as requested
  • The position is accountable for understanding and putting into practice the INEOS 20 Principles.

Skills & Knowledge Required

Education/Experience

  • High School Diploma or equivalent required
  • Experience with Workday or other HR Information Systems (HRIS) required
  • Experience processing Payroll required
  • Experience in an HR support role preferred
  • Experience in Learning Management Systems a plus
  • Experience in a manufacturing environment preferred
  • Work is performed at the Marina View Office in League City, TX

  • Proficiency in MS Office products - Word, Power Point, Excel, Access, Outlook
  • Ability to maintain strict confidentiality
  • Ability to work with minimal direction
