Freight Payment and Accounts Coordinator

Role Synopsis:
The Freight Payment and Accounts Coordinator is a key operational & back-office role in the Ineos Aromatics commercial organization. The role is divided into two distinct areas of responsibility: freight payment processing, and account service & customer support, primarily for truck shipments.
Account & Customer Service
The Freight Payment and Accounts Coordinator is responsible for managing the customer interface from receipt of order through delivery, post transactional support and closure for Aromatics shipments. This position serves as customer advocate by understanding customer requirements and expectations and acting as liaison between the customer, 3rd party logistics providers, and Ineos shipping and sales teams.
The Freight Payment & Accounts Coordinator guides the order-to-cash process for all truck sales, and is responsible for receiving orders and scheduling, liaising with counterparts in credit to ensure orders are released, and ensuring correct pricing and volumes are applied to sales orders for invoice generation. If issues arise at customer or Ineos plants, the Freight Payments & Accounts Coordinator coordinates schedule changes as required.
Freight Payment
This position is also responsible for managing efficient freight settlement process and systems to ensure timely and accurate freight payments are made to 3rd party logistics providers. The Freight Payment & Accounts Coordinator populates the needed data and monitors the SAP system, which automatically verifies and pays railroad invoices. The role also involves overseeing a third-party freight payment vendor, which is manually verifying validity of truck invoices. The role requires understanding and verifying exception invoices that cannot be processed by the automated system, and some troubleshooting of the automated process. Where Ineos has been incorrectly invoiced, the Freight Payment & Back-Office Coordinator will dispute with the vendor.
Responsibilities and Accountabilities:
- Work with 3rd party freight payment processing contractor to ensure timely and accurate freight payments.
- Manage and maintain relationship with third-party suppliers including freight payment and post-audit vendors.
- Monitor system-generated freight payments for accuracy and manage freight payment exceptions.
- Prepare and monitor freight payment and customer invoice metrics.
- Receive orders, coordinate scheduling, and ensure invoices are correctly priced and issued for truck customers
- Complete required transactions for month-end close, use SAP reports to check for and reconcile any discrepancies in price or volume
- Document customer service and quality issues, root cause investigations, and corrective action.
- Perform user-level transaction testing to support changes to the SAP system
Skills and Knowledge Required:
Education / Experience:
- Minimum of 3 to 5 years’ experience in Customer Service, logistics, business, manufacturing, or related field is preferred
- Bachelor’s degree preferred
- Experience working in back-office order-to-cash and/or procure-to-pay processes is preferred
Technical:
- SAP experience required
- Microsoft Excel
Behavioral skills:
- Ability to foster productive business relationships with third parties. Must maintain professional demeanor and communication with customers and vendors in stressful & frustrating situations.
- Ability to manage area of responsibility independently with minimal oversight. Must be able to set own agenda to ensure timely and accurate transactions, meet all deadlines for financial close, and promptly manage ad-hoc customer service issues as they arise.
- Attention to detail: cataloguing of customer communications & order flow, maintain accurate & up to date spreadsheets, ensuring sales order and invoice volumes & price are accurate.
- Ability to seamlessly and accurately back-up the desk of other account coordinators.
- Ability to work full-time in the Ineos office in Naperville, IL
