A. Purpose /Role of the job /: Describe in 1 phrase what contribution the job is expected to make to the organisation’s objectives

To support Site HR & Administration manager in facilitating, HR and Administration function at Site for ensuring implementation of HR policy, procedure and practices, Cordial industrial relations, improvement of employee morale, facilitating change processes for productivity improvement, general administration and to ensure statutory compliance under Labour Laws as applicable at the Site from time to time.

B. Environment/Context/Complexity of the job: Describe the most important internal and external factors influencing the job

Internal: 

  • To support Site HR & Admin manager in Compliance with ISO-9001 & 14001 pertaining to Site HR & Administration function.
  • Compliance of SHE regulations and Code of Conduct of the company.

 External:

  • To support Site HR & Admin manager for Ensuring  compliance of all the statutory requirements, Statutory Authorities, Factory Inspectorate, Labour authorities and other Law enforcing authorities

C. Responsibilities / Accountabilities of the job: Describe the main results expected from the job

  1. Key Result Areas: Incident free operations, Adherence to INEOS Styrolution SHE guideline, Compliance with local regulations.

Major Activities:

  • Coordinate regular safety training at site for employees, contractors and visitors on
    • Safety rules and guidelines
    • Operating procedures
    • Incident sharing and learning
    • Permit to work and Risk Assessment etc.
  • To support Site HR & Admin manager in developing safety culture at site and drive for incident free operation.
  • To support Site HR & Admin manager for preparing annual SHE improvement plan for the site.
  • To meet SHE KPIs and Targets set by management from time to time.
  • Drive Behavior Based Safety program at site.
    • To support Site HR & Admin manager in organizing training at site to take BBSO to next level of reporting – shop floor level and contractors.
  • To ensure all incidents including Near Miss at site are reported, investigated and action items are tracked to closure in HR & Admin.
    • Drive use of KMS for incident reporting and investigation, MOC, action item tracking
    • Ensure SHE related action items from audits; Site walkthroughs etc. are tracked to closure.
  • To provide support to Site HR & admin manager for the overall integrity of the site.
    • Extend support to operation team for INEOS Styrolution Asset Care program & SHE task force action items.
  • Ensure site procedures for Administration and Security are aligned with INEOS Group Guidance Notes (IGGNs).
  • To extend support to Site HR & Admin manager in:
    • Cascading INEOS 20 principles at site through site rules and procedures.
    • Implementation of Life Saving Rules at site.
    • Safety of employees, Contractors and Visitors at site
    • Following Permit to work as per the site procedure.
    • Following Management of Change as per the site procedure
    • INEOS Styrolution Sustainability program at site.

Outcome:

 Zero incident/accident in the Site.

  1. Key Result Areas: Support managers and employees at Site for driving HR systems.

Major Activities :

  • Create awareness and educate managers and employees for usages of HR systems (HRIS, Pay roll, Time and attendance, Leave management, Travel portal).
  • Provide system support to Managers and employees to perform all HR process thru system viz Recruitment, On boarding, Induction, Training, Objective setting / PMS
  • Provide support to Corporate HR team for implementation of upcoming HR System at Sites  

     Outcome: Ensuring timely and accurate execution of all HR process thru system.

  1. Key Result Areas: To support Site HR & Admin manager in managing day-to-day activities related to shop floor discipline at the Site.

Major Activities:

  • Support Site HR & Admin manager in employee grievance redressal at the Site.
  • Support Site HR & Admin manager in maintaining progressive discipline at the Site.
  • Support Site HR & Admin manager in maintaining Employee Life Cycle Processes (salary increase / extension / termination / confirmation) of unionized and fixed term employees engaged in routine operations at Sites.

       Outcome: Support in Sustenance of Industrial Relations and general discipline at the Site

  1. Key Result Areas: Coordination of training at the Site.

        Major Activities :

  • Communication to the employees concerned and attendance record keeping
  • Arranging for participants and tracking their participation and post training feedback / effectiveness
  • To maintain and up keep training records as per the procedure
  • Create training calendar in consultation with Site HR & Admin Manager and respective HOD.
  • Maintaining of employees training records as per the ISO standard.

Outcome:  Ensure support in conducting regular training programs and follow up.

  1. Key Result Areas: HR MIS maintenance.

      Major Activities :

  • Create and maintain necessary Monthly database for generation of various MIS viz, Head count, Attrition, Transfer, Promotion, Open position, Joining, Leaving, salary increase, Termination / retirement / resignation, Overtime,Training etc.
  • Develop and maintain personnel records for all employees
  • Monthly reporting of various MIS to management and Corporate HR as per requirement

Outcome:  Accurate and timely availability of employee details for analysis, strategy formulation and budgeting.

F. Required profile:

Level of education & Knowledge:

  • Full time Bachelor of Commerce with Postgraduate degree in HR / IR Management from recognized university.

Experience in general:

  • Minimum 7 years of work experience in HR and IR function preferably in a reputed company, at Site level.

Technical skills:

  • Knowledge of Site HR, IR and Administration functions & exposure to Labor Laws as applicable to manufacturing set up.

Competencies, Behavioral skills: (acc. to competency profile and required level of descriptions)

  • Interpersonal relationship                      
  • Communication & counselling skill
  • Analytical ability to avoid any errors during work.
  • Computer literacy / Exposure of MS office and must be good at preparing PPT 7 reports in excel.
  • Reliable & Valuing - respecting people

Legal Training Requirements

  • Under the provision (111-A) of the Factories Act 1948, reading with Gujarat Factory Rules 1963 about General Health & Safety, Emergency response, handling of hazardous substance

Job Requirement:

  • Physically fit, must be able to climb ladders and stairs.
  • Walking up to 8 hours a day.
