The purpose of this position is ensure the efficient operation and systematic control of the organization’s capital records management requirements and facilities in order to support Capital, Engineering, Maintenance, and Operation, and provide regulatory and best practice obligations.

Responsibilities AND Accountabilities

Records/System Management

Most important activities:

  • The position is accountable for understanding and putting into practice the INEOS 20
  • Provide a records management service to organizational staff and contractors
  • Ensure that physical and electronic records can be identified and retrieved quickly and easily when needed
  • Ensure that information in records files and systems are accurate and evergreen
  • Ensure that records are disposed of lawfully and efficiently and in accordance with organizational retention deadlines
  • Ensure records management training, policy, and procedures are accurate and followed
  • Ensure security and access issues for records and documents
  • Responsible for overall site management and documentation of Meridian Enterprise & Meridian Explorer Client
  • Ensure compliance, administration, and basics of ACAD

Accountability 2:

Capital Project Closeout

Most important activities:

  • Coordinate and assist with project closeout with engineers, accounting, and purchasing
  • Perform quality checks on closeout documentation to ensure company and regulatory compliance, and system(s) input
  • Follow-up on pending closeout documentation
  • Provide feedback to management
  • Responsible for on boarding new engineering design companies and offsite document control management

Accountability 3:

Customer Service

Most important activities:

  • Manages site’s Engineering File Rooms – files, indexes, retention, etc.
  • Provides customer support and serves as a document research expert for procedures, document locations, contacts, and systems procedures
  • Provides customer training

Accountability 4:

Reproduction/Supply Management

Most important activities:

  • Manages site’s copy machines/scanners (21), reproduction’s speciality equipment, large format printing requests, and supply inventory within budget objectives
  • Controls site’s outside printing
  • Create requisitions, service entries, and good receipts for invoices

Accountability 5:

Other

Most important activities:

  • Drawing Gatekeeper position
  • Ensures site’s Evacuation Maps are updated and posted
  • Quarterly updates site’s Area Classification, One Line and EOC Plot Plan drawing manuals
  • Manages site’s redlined drawings and equipment documentation

Level of education & Experience in general

  • High School Diploma
  • Some college
  • Competent with Microsoft Suite Software
  • Eight years’ experience in document control and records system management
  • Some supervisory ability and experience
  • Routine problem solving experience
  • Basic understanding of ACAD

Technical skills

  • Ability to plan, organize, manage, and multi-task concurrently
  • Ability to recall/access rules and regulations relating to company and regulatory compliance
  • Good communication and customer service skills
  • Ability to define and document system requirements for data, workflow, auditing and reporting
  • Ability to train others
  • Ability to define problems and determine resolutions
