The Position: Administrative Assistant -

The Administrative Assistant reports to the Site Director and provides a variety of administrative assistance to all departments at our Decatur manufacturing site.  This is an exciting opportunity for someone who enjoys working with diverse teams in a variety of systems and responsibilities.  Opportunities are available to develop or improve administrative processes.  Duties include those associated with document management, creation and management of spreadsheets and presentations, payroll time and attendance data, general business meeting support, office supply inventory management, mail room management, and other general departmental administrative support duties.

What you will do: 

  • Develop, improve, or update administrative processes

  • Assist creating and updating training documents within the training systems

  • Maintain controlled documentation to support compliance

  • Manage office supply inventory

  • Manage the Mailroom and Kitchen  

  • Track procurement card expenses and reconcilliation

  • Assist with meeting set up including catering arrangements, presentations, and scheduling

  • Assist with time and attendance payroll data verification 

  • Assist with reports, including data collection, data entry, and analysis

  • Participate in software conversions

  • Assist with company functions

  • Interact with office and manufacturing personnel

  • Interact with external employees, contractors, and vendor services

  • Handle sensitive business and personnel information with strick confidentiality

  • Preserve high standards of housekeeping and organization

  • Perform other duties as assigned which may not be specifically listed in the position description, but are within the general occupational series and responsibility level typically associated with the employee’s skills classification of work.

What you will bring: 

Level of Education:

  • Minimum 2-year degree in related field preferred

Experience in General:

  • Minimum 5 years work experience in related Administrative fields

Technical Skills:

  • Proficient in Microsoft Office - Work, Excel, PowerPoint, Outlook

  • Excellent attention to detail and accuracy in data collection and analysis, spelling, grammar, and punctuation

  • High comfort level with computer-based technologies

  • Clear verbal and written communication skills in English 

Competencies and Behavioral Skills:

  • Ability to interact comfortably with diverse teams

  • Logical and creative with the ability to identify gaps and develop solutions

  • Self-motivated requiring minimal supervision

  • Organized and reliable

  • Handles sensitive business and personnel information with strick confidentiality

Physical Demands:

  • Full time position in house

  • Sit, stand, walk and perform tasks requiring repetitive use of hands.  

  • Exert up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force to move or carry objects.

  • Employee must have the ability to see written documents, computer screens and to adjust focus.

  • Hearing: Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make discriminations in sound.

  • Legally authorized to work in the United States without the need for employer sponsorship now or at any time in the future.
