The O&P USA business includes the product lines Ethylene, Propylene, Butadiene, Polypropylene and Polyethylene.  Manufacturing sites include Chocolate Bayou Works (Alvin, TX), Battleground Manufacturing Complex (LA Porte, TX), and Carson, (Carson, CA), with a division office in League City, TX.

How the Role Fits in: 

The Workforce Development Administrative Assistant has accountability for providing primary office and administrative support on behalf of the recruiting and hiring processes, and the Manager of Advocacy, Leadership and Workforce Development, and Strategic Projects in O&P USA. The role supports company operations by implementing administrative systems, procedures, and record keeping while monitoring administrative projects in the area of Workforce Development.

 Responsibilities AND Accountabilities

  • Coordination and organization of internal and external meetings, appointments, interviews, training classes, on boarding, and events relating to recruiting, hiring, and Learning & Development
  • Maintenance of HR and Learning and Development Information Management Systems (paper and electronic)
  • Work with Site Training Functions for reporting and coordination of activities
  • Coordination and support of defined processes between users and 3rd parties e.g. VTA, Accenture, etc.
  • Preparation of Promotional materials for activities such as Career brochures, Company information pamphlets, Career Fair materials, Banners, etc.
  • Record keeping and document control for the HR and Workforce Development group including developing and utilizing appropriate filing and retrieval systems for appraisals and other HR processes
  • Information requests – provide accounting and management information reports as requested
  • Preparation of presentation materials (PowerPoint, etc.) for periodic updates to O&P Board, Steering Committees, Schools, etc. Produces information, reports  and communications as required by Workforce Development Manager
  • Preparation of correspondence and communications to external parties as required
  • Manage information and data of a confidential nature with discretion
  • Develop and implement work processes  designed to achieve greater efficiency and cost savings
  • Assist with invoice processing for Workforce Development and HR team as needed.  To include service entries, purchase requisitions, etc.
  • Actual Cost Performance versus budget tracking for Training Courses, T&E, Grant funding, Supplies, Scholarships, Donations, etc.
  • Creation and maintenance of distribution lists for various User groups

Conduct surveys related to Workforce Development activities and provide summary data

Other duties in support of the HR Department as assigned to provide backup to HR colleagues.

Skills & Knowledge Required

Education/Experience

Level of Education & Experience -

  • A minimum of a High school diploma or equivalent (GED) is required. 
  • Position requires 10+ years of administrative experience with demonstrated progressive increase in roles and accountabilities.
  • Ability to work in a team environment and demonstrate flexibility, particularly in times of pressure when it may be necessary to perform a range of tasks at different levels.
  • Advanced user of Microsoft Excel and Word applications with significant experience with PowerPoint.  Knowledge of Access preferred.
  • Experience as a site administrator for SharePoint Intranet Platform.
  • Experience as an administrator of Accenture Training software  
  • Excellent administrative and organizational skills.
  • Ability to work on own initiative and be able to prioritize work to meet deadlines.
  • Excellent communication and interpersonal skills, including the ability to deal with both internal and external contacts in a friendly and professional manner.
  • Pleasant telephone manner.
  • Knowledge of organization for networking and work integration.

  • Proficient user of standard computer applications – Outlook, E-Mail, , Access,
  • EXCEL, Power Point and WORD advanced proficiency a must
  • Experience with Learning Management/Training Systems (LMS) such as VTA and Accenture
  • An ability to manage work priorities to deliver real performance improvements in a busy and demanding work environment.
  • Ability to identify and resolve scheduling conflicts.
